Refunds & Returns Policy
At ErgFest, we are committed to providing an outstanding experience for all participants and customers. Due to the nature of our events and the planning involved, we operate a strict no refunds policy for event tickets, except in clearly defined exceptional circumstances. We also offer specific guidelines for product returns and exchanges.
1. Event Refunds
Refunds will only be issued in exceptional circumstances, which are limited to:
- Event Cancellation – If an ErgFest event is cancelled by the organisers, registered participants will be entitled to a full refund.
- Event Postponement – If an event is postponed and you are unable to attend the rescheduled date, you may request a refund.
No other situations qualify for an event refund, including but not limited to:
- Injury or illness
- Personal or work related schedule conflicts
- Travel issues
- Change of mind
2. Changes to Ticket Category
Requests to change your ticket category (e.g., moving to a different age group or competition tier) are generally not permitted. However, in extenuating circumstances, a change may be allowed at the organisers’ discretion. In such cases:
- The original ticket would typically need to be cancelled, and
- A new ticket purchased for the appropriate category.
- No ticket changes are permitted within the final 7 days prior to the event.
3. Product Returns & Exchanges
Our refund and returns policy lasts 30 days from the date of purchase. If more than 30 days have passed, we cannot offer a full refund or exchange.
To be eligible for a return:
- The item must be unused, in the same condition as received, and in its original packaging.
- A receipt or proof of purchase is required.
- Please do not send purchases back to the manufacturer.
Items that cannot be returned include:
- Gift cards
- Downloadable software products
Partial refunds may be granted for:
- Items not in their original condition, damaged, or missing parts not due to our error
- Returns made more than 30 days after delivery
5. Refund Process for Products
Once we receive and inspect your returned item, we will notify you via email of approval or rejection.
- If approved, refunds will be processed to your original payment method within a set number of days.
- If your refund is delayed, please check with your bank or card provider, as processing times may vary.
Sale items: Only regular-priced items may be refunded; sale items are non-refundable.
6. Exchanges for Products
We only replace items if they are defective or damaged. If you need to exchange for the same item, email us at sales@ergfest.com.
7. Gifts
- If the item was marked as a gift and shipped directly to you, you’ll receive a gift credit for the value of the return.
- If not marked as a gift, we will send the refund to the gift giver.
8. Shipping Returns
You are responsible for return shipping costs.
- Shipping costs are non-refundable. If a refund is given, the cost of return shipping will be deducted.
- For expensive items, we recommend using tracked shipping or insurance.
