Vendor Terms & Conditions – ErgFest
By applying for and attending ErgFest (“the Event”), all vendors (“you” / “the Vendor”) agree to the following Terms and Conditions set out by Driathlon Limited (“the Organiser”):
1. Insurance
- All Vendors must hold valid Public Liability Insurance with a minimum cover of £5 million (or as otherwise agreed in writing by the Organiser).
- A copy of the insurance certificate must be provided to the Organiser upon request.
2. Electrical Equipment & PAT Testing
- Any electrical equipment brought to the Event must be safe and fit for purpose.
- All equipment to be plugged into the Event’s power supply must display a valid Portable Appliance Test (PAT) certificate/label dated within the last 12 months.
- The Organiser reserves the right to refuse use of unsafe or untested equipment.
3. Health & Safety
- Vendors must comply with all relevant health and safety regulations.
- A risk assessment must be carried out for your stand, and all staff must be briefed on safe working practices.
- Aisles, fire exits and access routes must be kept clear at all times.
4. Stall/Stand Allocation
- Stall/stand locations are allocated by the Organiser and may be subject to change.
- Subletting, sharing or transferring stall space without written approval is prohibited.
5. Setup and Pack-Down
- Vendors must adhere to the setup and breakdown times provided by the Organiser.
- No early breakdown of stalls is permitted without prior agreement.
- All materials, packaging, and waste must be removed by the Vendor at the end of the Event.
6. Conduct
- Vendors and their staff must behave in a professional manner at all times.
- Aggressive, unsafe, or inappropriate behaviour may result in removal from the Event without refund.
7. Products and Services
- Only the products/services approved in advance by the Organiser may be promoted or sold at the Event.
- The Organiser reserves the right to restrict or remove any product/service that is deemed unsafe, inappropriate, or not in line with the Event’s ethos.
8. Liability
- The Organiser accepts no responsibility for loss, theft, or damage to Vendor property or stock.
- Vendors are responsible for the safety and security of their own equipment, goods, and cash at all times.
9. Cancellations
- If the Vendor cancels their booking, any fees paid are non-refundable unless otherwise agreed in writing.
- If the Event is cancelled by the Organiser (e.g. for reasons outside their control), liability is limited to a refund of any fees paid by the Vendor.
10. Compliance
- Vendors must comply with all instructions issued by the Organiser, Event staff, and the venue management.
- Failure to comply with these Terms and Conditions may result in removal from the Event without refund.

By attending ErgFest, the Vendor confirms they have read, understood, and agreed to abide by these Terms and Conditions.
